Billing & Fees Policy
At Elyséa HEALTH, we are committed to delivering exceptional healthcare in an environment founded on professionalism, compassion, integrity and clinical excellence.
Every appointment is individually reserved with one of our highly qualified healthcare professionals, allowing dedicated time for comprehensive assessment, personalised treatment and continuity of care.
To help us continue providing timely, high-quality medical and mental health services, we ask all patients to familiarise themselves with our Billing & Fees Policy prior to booking an appointment.
By making or attending an appointment with Elyséa HEALTH, you acknowledge that you have read, understood and accepted the terms outlined below.
Private Billing Practice
Elyséa HEALTH is an independent private multidisciplinary healthcare practice.
Our practitioners individually determine their consultation fees based on their qualifications, experience, appointment duration, complexity of care and professional expertise.
Unless otherwise advised, all consultations and services are privately billed.
Consultation fees are payable regardless of Medicare eligibility.
General Practice (GP) Consultations
General Practice consultations may be privately billed or bulk billed at the sole discretion of the treating General Practitioner and subject to Medicare eligibility.
Patients should not assume an appointment will be bulk billed unless this has been specifically confirmed by the treating GP or our administration team.
Additional fees will apply for procedures, medical examinations, travel medicine, vaccinations, consumables, reports, forms, insurance paperwork and other services not covered by standard consultation fees.
Psychiatry Consultations
This includes, but is not limited to:
- Initial consultations
- Review appointments
- ADHD assessments
- Autism Spectrum Disorder assessments
- Other diagnostic assessments
- Medication reviews
- Second opinions
- Specialist opinions
- Capacity assessments
- Medicolegal assessments
- Comprehensive psychiatric reports
Where applicable, eligible patients may receive a Medicare rebate after payment has been processed.
Psychology Consultations
All psychology consultations, assessments, therapy sessions, counselling appointments, psychological assessments and reports are privately billed.
Patients who hold a valid Mental Health Treatment Plan or other eligible referral may receive Medicare rebates where applicable.
Eligibility for Medicare rebates is determined solely by Medicare.
Consultation Fees
Consultation fees vary according to:
- Treating practitioner
- Appointment duration
- Appointment complexity
- Type of assessment
- Procedures performed
- Reports requested
- Clinical services provided
Current consultation fees are available on our website or will be provided by your treating practitioner or our administration team prior to your appointment.
Fees are reviewed periodically and may change without prior notice.
Medicare Rebates
Where applicable, Medicare rebates will generally be processed following completion of your consultation.
Please note:
- Medicare determines rebate eligibility.
- Medicare rebate amounts may change without notice.
- Not all appointments attract Medicare rebates.
- Patients remain responsible for payment of the full consultation fee regardless of rebate eligibility.
- Not all services provided at Elyséa HEALTH attract a Medicare rebate. Certain consultations, report-related appointments, preparation of reports, letters and other professional work undertaken outside a consultation, together with administrative fees, cancellation fees, non-attendance fees and other non-clinical charges, are not rebateable by Medicare. Patients remain responsible for payment of all applicable fees irrespective of Medicare eligibility.
Patients are responsible for confirming their Medicare eligibility by contacting Medicare directly if required.
Payment Requirements
To secure your appointment, payment is generally required prior to attendance.
A booking deposit of minimum $200 will be required for all psychiatry and psychology appointment types.
Unless otherwise advised, the remaining consultation balance must be received no later than three (3) business days before your scheduled appointment.
Appointments for which payment has not been received by the required due date will be cancelled and the applicable cancellation policy will apply.
Payment Methods
We accept payment by:
- Credit/Debit Cards
- EFTPOS
- Electronic Funds Transfer (EFT)
Credit and debit card payments attract a merchant surcharge of up to 2.4%, depending on the payment method used.
Patients choosing to pay by Electronic Funds Transfer (EFT) must ensure funds have cleared before their appointment and will be asked to provide proof of payment.
Secure Storage of Payment Details
To provide a secure and seamless payment experience, Elyséa HEALTH uses Stripe®, one of the world’s leading PCI DSS compliant payment platforms, to securely process and store authorised payment details.
By booking an appointment or providing your payment details, you authorise Elyséa HEALTH to securely retain your payment details through Stripe for the purpose of processing authorised charges relating to your care, including:
- Appointment deposits
- Outstanding consultation balances
- Administration fees
- Cancellation fees
- Non-attendance fees
- Other authorised charges associated with your healthcare.
Your complete payment card details are securely encrypted and stored by Stripe and are not accessible to Elyséa HEALTH practitioners or administration staff.
Appointment Confirmations
Appointment confirmations and reminders are generally sent by SMS and/or email.
Patients are responsible for ensuring their contact details remain accurate and up to date.
Failure to receive a reminder does not remove the patient’s responsibility to attend their scheduled appointment.
Cancellation & Rescheduling Policy
Our practitioners reserve dedicated appointment times exclusively for each patient.
When appointments are cancelled especially at short notice, it is often not possible to offer that appointment to another patient requiring care.
Accordingly, the following policy applies.
More than three (3) business days’ notice
Appointments cancelled or rescheduled more than three (3) business days before the scheduled appointment will incur a $25 administration fee.
Within three (3) business days
Appointments cancelled, changed or rescheduled within three (3) business days of the scheduled appointment are non-refundable.
Priority appointments
Appointments booked within three (3) business days of the scheduled consultation date are considered priority appointments.
Deposits and consultation fees for priority appointments are non-refundable.
Cancellation or rescheduling requests must be submitted in writing via email.
The date and time (South Australian time) at which your cancellation or rescheduling request is received by Elyséa HEALTH will determine the applicable notice period and whether any cancellation or administration fees apply.
The day of the scheduled appointment is not included when calculating the required three (3) business days’ notice period. For example, if your appointment is scheduled for a Thursday, your cancellation or rescheduling request must be received by Elyséa HEALTH no later than 5:00 pm (South Australian time) on the preceding Friday to satisfy the required notice period.
Late Arrival
Patients are encouraged to arrive several minutes before their scheduled appointment.
Patients arriving late will receive the remaining consultation time available where clinically appropriate.
Patients arriving more than fifteen (15) minutes after the scheduled appointment time will be considered to have not attended their appointment, and the full consultation fee will apply.
Non-Attendance
Failure to attend a scheduled appointment without appropriate notice will result in the full consultation fee being charged.
This includes patients who:
- forget their appointment;
- choose not to attend;
- arrive more than fifteen (15) minutes late;
- leave before being seen; or
- are otherwise unavailable at the scheduled appointment time.
Medicare rebates are not payable for missed appointments
Face-to-Face & Telehealth Consultations
Elyséa HEALTH currently provides predominantly face-to-face consultations.
Where clinically appropriate, telehealth consultations may be introduced for selected practitioners or services if applicable.
Where telehealth consultations are offered, this Billing & Fees Policy will continue to apply together with any additional telehealth requirements advised at the time of booking.
Reports, Letters & Administrative Services
Our practitioners routinely communicate with referring healthcare providers as part of ongoing patient care.
Additional requests outside routine clinical correspondence may attract separate professional or administration fees.
These include, but are not limited to:
- Additional reports
- Medical letters
- Insurance forms
- Employment forms
- Fitness for work documentation
- NDIS documentation
- Medical certificates outside consultations
- Copies or transfer of reports
- Duplicate documentation
- Extensive record requests
Where applicable, patients will be advised of the fee before work commences.
Transfer of reports to practitioner/practice other than the original referring practitioner will generally incur a $40 administration fee together with completion of the required consent documentation.
Refund Policy
Consultation fees are reserved for practitioner time rather than clinical outcomes.
Accordingly, consultation fees will not be refunded once an appointment has commenced or has been attended, regardless of:
- diagnosis reached;
- treatment recommendations;
- Medicare eligibility;
- whether medication is prescribed;
- referral outcome;
- patient expectations; or
- the duration of future treatment.
Refunds will not be provided except where Elyséa HEALTH, in its absolute discretion, approves a refund due to exceptional circumstances.
Outstanding Accounts
Outstanding accounts must be paid in full.
Patients with unpaid accounts will not be offered further appointments until outstanding balances have been finalised unless otherwise approved by Elyséa HEALTH.
Where accounts remain unpaid, Elyséa HEALTH reserves the right to commence debt recovery proceedings.
Any reasonable legal, administrative or debt recovery costs incurred, to the extent permitted by law, will be added to the outstanding balance.
Financial Hardship
We appreciate that unexpected financial circumstances may occasionally arise.
Patients experiencing genuine financial hardship are encouraged to contact our administration team before their appointment.
Requests will be considered individually; however, approval of alternative payment arrangements remains entirely at the discretion of Elyséa HEALTH.
Fee Reviews
Consultation fees and administrative charges are reviewed periodically and may change at any time.
The fees applicable at the date of your appointment will apply.
Privacy
All personal, financial and billing information is managed in accordance with applicable Australian privacy legislation.
Information is collected solely for legitimate healthcare, administrative and billing purposes.
Please refer to our Privacy Policy for further information regarding the collection, storage and use of your personal information.
